Changing Tenants
Overview
When you have access to multiple tenants in Authonomy Nexus, you can switch between them to manage different environments, departments, or customer configurations. This guide shows you how to change your current tenant context using the built-in tenant selector.
Prerequisites
Before changing tenants, you need:
- Access to multiple tenants (the tenant selector only appears for users with multiple tenant access)
- An active session in Authonomy Nexus
- Appropriate permissions for the tenants you want to access
Understanding Tenant Context
Your “current tenant” determines:
- Which users, applications, and configurations you see
- Which data appears in dashboards and reports
- Which audit logs and analytics are displayed
- The scope of all administrative operations
When you switch tenants, you’re changing the entire context of your Authonomy session.
How to Change Tenants
Step 1: Open the User Menu
- Locate the User Menu - In the top-right corner of any Authonomy page, you’ll see your email address followed by your current tenant name in parentheses
- Click the User Menu - Click on your email/tenant display to open the dropdown menu
The user menu button shows: your-email@domain.com (Current Tenant Name)
Step 2: Access the Tenant Selector
- Find the Tenants Section - In the dropdown, you’ll see a “TENANTS” section if you have access to multiple tenants
- View Available Tenants - All tenants you have access to are listed alphabetically
- Identify Current Tenant - Your current tenant is highlighted in blue
Step 3: Select New Tenant
- Click Target Tenant - Click on the tenant name you want to switch to
- Review Confirmation Dialog - A confirmation dialog will appear asking if you want to switch
- Confirm the Switch - Click “Switch” to proceed or “Cancel” to stay with your current tenant
Step 4: Complete the Switch
- Automatic Redirect - After confirming, you’ll be redirected to the dashboard
- Page Reload - The page will reload to apply the new tenant context
- Verify Switch - Check that the user menu now shows your new tenant name
Important Notes
Session and Data Changes
When you switch tenants:
- All data changes to reflect the new tenant’s scope
- Dashboard widgets update to show the new tenant’s metrics
- Navigation remains the same but content is tenant-specific
- Your session continues - you don’t need to log in again
Automatic Refresh
- The interface automatically refreshes to show the new tenant’s data
- Any unsaved changes in forms may be lost during the switch
- Open modals or dialogs will be closed
Multi-Tenant Visibility
The tenant selector only appears when:
- You have access to 2 or more tenants
- Multiple tenants exist in the system
- Your user account has been granted access to multiple tenant environments
Best Practices
Before Switching
- Save any work you have in progress
- Note your current tenant in case you need to switch back
- Close any open forms or modals to avoid losing data
After Switching
- Verify the tenant change by checking the user menu display
- Confirm you’re seeing the expected data for the new tenant
- Allow time for dashboards to refresh with the new tenant’s metrics
Organizing Your Work
- Use browser bookmarks with tenant-specific URLs if needed
- Keep notes of which configurations belong to which tenants
- Plan tenant switches around natural break points in your workflow
Troubleshooting
Tenant Selector Not Visible
If you don’t see the tenant selector:
- Check tenant access - Ensure you’ve been granted access to multiple tenants
- Verify login status - Make sure you’re fully logged in and authenticated
- Contact administrator - Request access to additional tenants if needed
Switch Fails or Hangs
If the tenant switch doesn’t complete:
- Check network connection - Ensure stable internet connectivity
- Try refreshing the page and attempting the switch again
- Clear browser cache and cookies for the site
- Log out and back in if the problem persists
Wrong Tenant Context
If you end up in the wrong tenant:
- Check the user menu to confirm your current tenant
- Switch again using the same process
- Refresh the page to ensure all data has updated properly
Data Doesn’t Update
If the interface doesn’t refresh after switching:
- Wait a few seconds for automatic updates to complete
- Manually refresh the page using your browser’s refresh button
- Navigate to a different page and back to trigger a full reload
Security Considerations
Access Control
- Tenant switching respects your assigned permissions
- You can only switch to tenants you’ve been explicitly granted access to
- Administrative actions are logged in the context of the target tenant
Data Isolation
- Each tenant’s data remains completely isolated
- Switching tenants doesn’t expose data from other tenants
- Audit trails are maintained separately for each tenant context
Session Management
- Your session remains active across tenant switches
- Authentication tokens are validated for each tenant access
- Session timeouts apply regardless of tenant switches
